An AI assistant that follows how your business works

Otelbot turns approved business information into a customer-facing assistant for website chat and connected messaging channels. It is designed for different businesses, not only hotels.

Choose the work before choosing the automation

An assistant is useful when its responsibility is clear. Begin with frequently repeated information: service descriptions, location, opening hours, conditions and enquiry steps. Keep exceptions, sensitive decisions and approvals with the people responsible for them. Otelbot combines a business knowledge base with configurable response tone and staff handoff instructions.

Practical use across sectors

Restaurants

An assistant can explain published service hours and a current menu, then acknowledge requests for a special table arrangement. A daily set menu needs a current source or staff follow-up. Taking the request is not a promise that the arrangement will be provided.

Travel agencies

Approved itineraries, meeting points and inclusions can answer early questions. Weather-dependent departures and final capacity need verified updates. The assistant should distinguish an enquiry from a confirmed booking.

Property and service businesses

Use verified property descriptions, service areas and office information to help customers decide whom to contact. Without access to a live listing or scheduling system, the assistant should not assert that a property remains available or that an appointment has been created.

Healthcare administration

Administrative information such as location, hours, department details and appointment contact routes may be appropriate. A general customer assistant should not be presented as a system for diagnosis, treatment advice or emergency clinical decisions. Sensitive information and the institution's approved wording need a separately defined scope.

These are workflow examples, not claims that dedicated integrations for each sector are already installed.

Knowledge and channels

Website pages, PDF documents and prepared answers can provide the information. Appoint someone to update changing prices, hours and policies. Otelbot supports web chat, WhatsApp, Instagram DM and Facebook Messenger, subject to the connections and package enabled for the business. The multilingual infrastructure supports more than 80 languages; target-language checks are part of a careful rollout.

Keep staff in control of decisions

Define what is answered directly, what requires clarification and what belongs with staff. Conversation summaries can support follow-up, and notification settings can route information to the team. Test human takeover on each channel. An acknowledgement must match what has happened: receiving a message does not mean writing a task into an external system or securing a reservation.

API integration needs a defined scope

Otelbot includes configurable API tools. A connection requires an accessible service, authorisation, data mapping and error handling. Reading a price and writing a confirmed order are different permissions and should be tested independently. An assistant without this connection can still provide approved information and guide the customer to the correct contact route.

Prepare several real customer questions and one example of an exception before launch. Review conversations afterwards rather than relying on a generic template. See AI customer service for the response workflow and contact us to define a demo for your business.

Frequently asked questions

Is Otelbot only a hotel assistant?

No. It is a business messaging assistant configured with each business’s knowledge, tone and service boundaries.

Can it use our existing documents?

Website content, PDF documents and prepared question-and-answer material can be used as knowledge sources. Accuracy depends on keeping that information current.

Can it create appointments or orders?

It can handle enquiries and direct requests. Confirmed records in another system require a suitable integration and explicit permission; they are not assumed in a standard knowledge-based setup.

How do we get started?

Share your website, common customer questions and the channels you want to use. The team can then define information sources, handoff rules and acceptance tests.
