AI customer service built around your business knowledge

Otelbot is a multichannel AI chatbot platform for customer communication. It uses business-specific knowledge and response instructions to handle questions on a website and connected messaging channels.

Keep the first response available

Customers ask about opening hours, location, services and booking steps at different times of day. Repeating those answers consumes staff time, while an unanswered message can leave a customer unsure what to do next. Otelbot can provide automated first responses around the clock when the relevant channel connection is active. It supports businesses beyond hospitality, including restaurants, agencies and service companies.

What the assistant can use

Website content, PDF documents and prepared question-and-answer material can become business knowledge sources. Response tone and escalation rules are configured for each business. Website chat, WhatsApp, Instagram DM and Facebook Messenger are supported channels; account access, permissions and the selected package determine which connections are enabled.

The multilingual model infrastructure supports responses in more than 80 languages. Important service terms and target languages should still be tested. Conversation records and summaries help the team review enquiries; email notifications depend on configuration. Sharing a knowledge base across channels does not imply that customer identities or conversation histories are automatically merged between channels.

How this differs from a menu-based chatbot

A fixed menu routes users through predefined options. An AI assistant can interpret a question written in natural language and compose a response using relevant business information. For example, “Are you open on Sunday, and is there parking?” contains two information needs that can be addressed in one reply. Answer quality depends on the source material, instructions and testing. AI output should not be treated as guaranteed to be error-free.

Human handoff is part of the workflow

The assistant should answer a known opening time directly. A complaint, a special request or a question without reliable information should follow the agreed staff handoff or contact route. Acknowledging a request does not mean approving it or completing an action in another system. Staff takeover and the stopping of automated responses must be tested for each connected channel.

Information versus live actions

Live prices, stock levels, room availability and confirmed bookings require a reliable data source or an appropriately authorised integration. Otelbot provides configurable API tools, but this is not a claim of a ready-made connection to every business system. Without a live connection, use approved reference information and direct the customer to the team or the booking channel.

Roll out with concrete examples

Start with common questions, define the sources and their update owner, then test normal answers, missing information, multiple languages and handoff. Review real conversations after launch to improve the knowledge base. An enquiry about table decoration, for instance, can be acknowledged for follow-up without promising that the decoration is available.
